Mission Statement


The Regina Open Door Society (RODS) is a non-profit organization that provides settlement and integration services to refugees and immigrants in Regina. RODS is committed to meeting the needs of newcomers by offering programs and services that enable them to achieve their goals and participate fully in the larger community.

Position Summary
The Team Leader is responsible for providing team supervision to RODS administrative and accounting services in order to ensure effective and efficient operation of the Central Administration & Finance Department. This position works closely with the Budget Officer.


This individual must possess knowledge of the Sage accounting program, budgeting, financial analysis, and mathematics and data entry. They will have excellent verbal and numerical communication skills, attention to detail and problem-solving abilities.  A willingness to learn new applications and processes and the ability to prioritize projects are also very important.  They work well both in a team setting as well as autonomously with little supervision, co-operate with others and work to the greater good of the organization and clients.

·       Bachelor’s degree in accounting;

·       Minimal 5 years of experience

·       Proficient in Microsoft Office Applications (Word, Excel, Outlook);

·       Proficient in Sage 50 (formerly Simply Accounting);

·       Knowledge of customer service principles and practices;

·       Clean Criminal Record check.


Duties and Responsibilities
The efficient day-to-day operation of RODS’ culturally diverse organization is maintained through a collaborative approach with the Executive Director, managers and staff through consensus-based decision making.  The Team Leader’s responsibilities will oversee and assist with the following services when required:

Budgeting services:

·       Updating data and formulas in cost allocation spreadsheets.

·       Updating recurring transactions and reconciling projects in Sage 50.

·       Assisting with budget development and preparation as requested.

Banking services:

·       Depositing cheques, cash, coins and money orders.

·       Recording donations and issuing income tax receipts.

·       Recording bank deposits and performing bank reconciliations in Sage as requested.

Purchasing services:

·       Obtaining price quotations for office supplies, furniture and equipment.

·       Responsible for tracking capital purchases and update on a regular basis e.g. serial numbers, prices and departments.

·       Placing orders online and by telephone, fax and email.

·       Working closely with program support staff to ensure asset inventory is up to date.

Bookkeeping services:

·       Performing bookkeeping duties such as filing, and posting day-to-day transactions.

·       Processing accounts payable accurately and efficiently;

·       Reconciling asset, liability, revenue and expense accounts.

·       Answering questions from colleagues and vendors about invoices and accounts payable.

·       Processing monthly invoices and general journal entries as requested.

·       Processing accounts payable accurately and efficiently.

Payroll Services:

·       Process and submit bi-monthly payroll.

·       Keep informed of government acts and regulations as it pertains to payroll.

·       Creating/submitting claims/invoices for Funders.

·       Maintaining payroll operation and information e.g. tracking time sheets, Saskatchewan Pension Plan, Replicon and other required reports.

Other duties:

·       Any other duties as requested by Finance Manager.

Global Leadership Competencies
Planning and Reporting

·       Establish program goals within the department to meet the requests of the Director and Manager. Ensure departmental procedures are being met. 

·       Make day-to-day decisions at the program/operational level and ensure that program activities are aimed at meeting required deliverables and outcomes.

·       Collect and report on program activity to Manager as required.

·       Conduct monthly program reporting and annual program evaluations for funders. 

Organizing, Staffing and Leadership

·       Provide input into job descriptions for program employees. Ensure employees are clear on roles and responsibilities. 

·       Assist Manager with hiring of staff and assign job responsibilities with Manager.

·       Conduct new staff orientations. 

·       Ensure staff obtains initial training and continued professional development training to meet their performance goals and the needs of RODS.  Follow-up after training to monitor changes in performance. 

·       Supervise program staff, teams, and volunteers being responsible for their performance. Provide clear expectations and effective feedback regularly to staff.  Coach and mentor staff as needed.

·       Review performance of staff with Manager for trends and training needs. 

·       Promote and provide opportunities to encourage individual/team/program accountability. Each individual is accountable for his/her performance and learning.

·       Model desirable behaviours for program staff. 

·       Provide staff performance evaluations with the manager (mid-probationary, probationary, and annual performance reviews). 

Process Management and Problem Solving

·       When Manager is away, fulfill the role. 

·       Develop/identify innovative program solutions with the program team to meet strategic goals. 

·       Identify program needs and implement changes as approved. 

·       Identify potential risks at the program level.  Mitigate where possible. 

·       Manage and report on risks within the programs and department. 

·       Model and encourage conflict-resolution strategies and work one-on-one with staff to build on strengths and overcome weaknesses. 

Establishing Direction

·       Provide input into policies and procedures affecting staff.  Monitor staff activities related to policies and procedures.

·       Establish and monitor program procedures to focus on RODS’ priorities to ensure they are met.

·       Communicate with program staff and monitor activities to ensure programs represent RODS’ culture. 

·       Utilize technology to review data and program records to identify more effective and efficient ways to meet clients’ needs. 

Aligning people

·       Ensure the voice of all employees are heard when contributing to program-level decisions.  Identify the needs of the employees to deliver the program.

·       Promote collaboration and a team culture. 

·       Encourage staff to participate in department and RODS social and educational functions: lead by example. 

·       Participate and provide input in departmental meetings. 

 Working Conditions

Work is performed primarily in a standard office environment with extensive employees and public contact and frequent interruptions. Primary functions require sufficient physical ability and mobility to work in an office setting.

Hours of work are Monday to Friday from 8:00 AM to 4:30 PM with one hour unpaid lunch break and an Earned Day off (EDO) every second Monday or Friday.  All positions at RODS require a clean criminal record check. There is a cost shared benefits package and 3% pension contribution available to the employee with a successful completion of a six-month probationary period.  The annual salary for this position starts at $52,291.97 ($29.80 per hour).
