The Regina Open Door Society (RODS) is a non-profit organization that provides settlement and integration services to refugees and immigrants in Regina. RODS is committed to meeting the needs of newcomers by offering programs and services that enable them to achieve their goals and participate fully in the broader community.

The Regina Open Door Society is seeking a qualified individual to staff the permanent full-time position of Welcoming Community for Newcomers Team Leader.  

Position Description:

Under the supervision of the Manager of  Settlement, Family and Community Services Department, this position is responsible for accomplishing the Welcoming Community for Newcomers (WCN) Program operational objectives by providing lead hand supervision to staff, planning and organizing programs and services, supporting program staff and monitoring and evaluating progress. This position is also responsible for the management and deployment of volunteers to support the Regina Open Door Society Welcoming Community for Newcomers activities.


Team Leader Role:
·       Provide day to day program and operational support to the WCN Program staff

·       Supervise Welcoming Community for Newcomers  staff members: This includes review of client physical files, ICARE and Protegra  database entries

·       Review WCN staff  activities and monitor staff schedules including review and first-stage approval of timesheet (replicon entries)

·       In collaboration with the program, Manager develop an annual work, budget training and vacation plans

·       In collaboration with the Manager, conduct program  monitoring  to ensure the  WCN program is  delivered in accordance with the terms and conditions outlined in the contribution agreements

·       In Collaboration with Manager /Director ensure Program budget is used efficiently and in accordance with the terms outline in the  contribution agreements 

·       Review program activities to ensure the  programs are meeting targets

·       Carry out an annual  program  evaluation

·       Produce  project  monthly and quarterly narrative, statistical, annual  program performance and evaluation  reports    

·       Work in collaboration with RODS programs, external agencies and partners to coordinate referrals and  services

·       Assist with  the recruitment, selection and orientation of new staff 

·       Conduct annual staff performance appraisals. Performance appraisal will be conducted in collaboration with the Manager 

·       Support the Manager and director to  prepare program  budgets and proposals  

·       Respond to funders and program partners requests  

·       Participate in agency  case management,  team leads and department  meetings

·       Organize program-related meetings

Volunteer Management Roles

·       Implement and evaluate all-volunteer recruitment, orientation and educational activities

·       Recruit, screen, interview and check references of all volunteers. Implement and assess quarterly volunteer basic training program

·       Implement and evaluate volunteer educational activities, including educational; activities jointly organized with other agencies

·       Conduct educational needs and assessments with individual volunteers and through specific sessions

·       Provide volunteer supervision and volunteer assignment of duties

·       Conduct yearly survey with volunteers 

·       Recruit volunteers to meet program goals

·       Develop and update volunteer  job descriptions

·       Plan and execute all-volunteer appreciation events

·       Develop new, innovative ways to show appreciation to volunteers

·       Maintain volunteer lists, statistics, and forms.

·       Maintain computerized volunteer address and phone lists - regularly distribute to staff

·       Collect statistics re volunteer recruitment, attrition, appreciation

·       Review and update current manual, forms & develop new forms as appropriate

·       Compile and prepare program reports

·       Represent the organization at volunteer coordinator events

·       Participate in Continuous Quality Improvement (CQI) initiatives by identifying areas for quality improvement related to education and volunteer management and implement changes where appropriate

Educational and other job-related requirements:

 ·       Three years or more years of successful experience in-group facilitation and volunteer recruitment, training, and support

·       Volunteer  Management certificate /training 

·       University degree in the social sciences, humanities or education ( Work experience will be considered ) 

·       Three years’ work experience providing service in the field of  social services, education or humanities

·       More than two year’s work experience in direct supervision in a human service delivery environment

·       Specialized training in program delivery area, as defined by the job description (e.g. settlement services, or family support or youth programming)

·       Training in para-counselling and ability to speak a second language not mandatory but an asset

·       Experience working in a culturally diverse team and a fast pace environment

·       Experience in program budgeting and planning

·       Teambuilding skills, strong computer skills, excellent communication (oral and written),

·       Must have a flexible schedule with some ability to work evening, weekend hours to meet departmental needs.

Hours of work Monday to Friday from 8:00 AM to 4:30 PM with Earned Day Off (EDO) once day every two weeks.  The annual salary for this position is $49,801.88
